If you are about to automate something in a UAE business, you will very quickly be asked which tool to use. The usual shortlist is n8n, Make, Zapier and Microsoft Power Automate. All four work. They suit different situations, and picking the wrong one tends to show up six months later as a bill nobody expected or a workflow nobody can maintain.
We build on all four, so we have no reason to favour one. This is how we choose between them.
The short version
Zapier is the quickest way for a non technical team to connect two popular cloud apps. Easiest to start, can become expensive at volume.
Make is a visual builder that handles more complex, branching workflows than Zapier at a lower cost for many uses. Still cloud hosted, still friendly to non developers.
n8n can be hosted on your own server, handles complex logic and custom code comfortably, and its cost does not grow in the same way with volume when you host it yourself. It asks more of whoever maintains it.
Power Automate is the natural choice when your business already runs on Microsoft 365, and it can automate desktop applications as well as cloud services.
The questions that actually decide it
Who will maintain it after it is built?
This is the most important question and it is asked least. A workflow is not finished when it goes live. Something changes, an app updates its connection, a new exception appears, and somebody has to fix it.
If the person maintaining it is in operations or finance rather than a developer, Zapier or Make are easier to hand over. If you have a developer, or a partner who will support it, n8n’s flexibility pays off.
How many times will it run?
Cloud tools generally charge by usage: tasks, operations or executions, depending on the tool. A workflow that runs a few hundred times a month costs very little anywhere. A workflow that processes every order, every invoice and every status change can run tens of thousands of times a month, and that is where pricing models diverge sharply.
Estimate your real volume before choosing, including the steps inside each run, because some tools count each step separately.
Where does the data need to live?
None of the cloud versions host in the UAE. Zapier hosts its data in the United States and does not offer an EU only option. Make lets you choose a US or EU data zone when you sign up, with some exceptions for its AI features. n8n’s own cloud hosts in the EU. For most workflows that is fine. If you have a contractual or regulatory reason to keep certain data inside the UAE, self hosting n8n on a server you control, located where you need it, is the most straightforward way to do that.
Ask the question early. Moving a working automation from one platform to another is a rebuild, not a migration.
What are you connecting?
Zapier has the largest catalogue of ready connections to cloud apps. Make has a broad catalogue as well. n8n has fewer ready connections but makes it straightforward to call any system with an API, including your own. Power Automate is strongest inside the Microsoft ecosystem: Outlook, Teams, SharePoint, Excel and Dynamics.
If you are connecting an ERP such as Odoo to a payment gateway and a messaging channel, check that each tool can reach all three properly, not just whether a connector with the right name exists. A connector that only supports half the operations you need is worse than a clean API call.
How complex is the logic?
Simple trigger then action workflows are easy everywhere. Once you need loops, branching, error handling, retries and transformation of data between formats, Make and n8n handle that more comfortably than Zapier, and n8n lets you drop into code when a visual step is not enough.
Where AI fits
All four can now call AI models as a step, whether to read a document, classify a message or draft a reply. The tool you choose matters less here than how you use the model. Give it the one job where input varies, such as reading supplier invoices that all look different, and keep the exact work, such as VAT arithmetic and matching references, in plain rules. A model in the middle of arithmetic adds cost and a small chance of being confidently wrong.
What we usually recommend
For a small team connecting a few cloud apps, with no developer, we usually start with Zapier or Make. The time to value is short and the cost at low volume is modest.
For anything that runs at volume, connects to an ERP, needs proper error handling, or has data residency requirements, we usually build on n8n, often self hosted, with custom code where the standard steps stop short.
For a business that lives in Microsoft 365, Power Automate is often the sensible default, especially where approvals run through Outlook and Teams.
And sometimes the honest answer is none of them. If the process is broken, automating it makes it worse faster. Decide what to automate first before deciding what to automate it with.
Common questions
Is n8n free?
n8n can be self hosted, in which case you pay for the server and the time to run it rather than per execution. It also offers a paid cloud version. Self hosting is cheaper at volume but means somebody is responsible for updates, backups and security.
Can we switch tools later?
You can, but expect to rebuild each workflow rather than export and import it. The logic transfers, the implementation does not. That is the main reason to choose carefully the first time.
Which is best for WhatsApp automation?
Any of them can send messages through the WhatsApp Business Platform. The constraints come from WhatsApp’s own rules, such as approved templates outside the 24 hour window, rather than from the tool. We cover those rules in WhatsApp automation for UAE businesses.
Do you build and support these?
Yes, on all four, plus custom Python and Odoo modules where a platform is not the right fit. We pick per job and support what we build. More on our AI automation page.
